Part time: Hourly working weeks

Note: Only Leadership Permissions can set up hourly working weeks.

On Charlie, you can set up working weeks for team members that differ from your company default working week to accurately manage team members' holiday allowance and time off bookings. This article is all about setting up team members who's holiday allowance is counted hourly. If you're looking for half day working weeks you can find how to set this up in this article here.

What happens when I switch a team member to hourly?

When a team member is moved to hourly work, their time off allowance and bookings will all be calculated in hours moving forward. Hourly calculation can be done in increments of 0.5 and 1 (half hours and full hours). The software does not currently support increments of 0.25 or 0.75.

How will time off work?

Charlie will automatically pro rata holiday allowance based on their hourly set working week. Team members can book time off in hours for any time off types that affect their time off allowance - this includes holiday and any other custom time off type you have set up. For any time off types that do not affect their time off allowance such as sick leave, the time off can only be booked in half/ full days.

Time off and Public holidays

Public holidays for part time and hourly employees have a different set up compared to full time employees. The recommended way is to include the bank holiday allowance in the policy assigned to the employees, and to move them to an office that does not have a public holiday allocation.

We recommend this set up as Charlie does not have a way of knowing how many hours are worked in a day for an hourly employee, only the hourly total for the week.

Moving the hourly employees to an office without public holidays means two things:

  • Charlie will be able to give the correct pro-rata entitlement to the employees ( as they are entitled to a percentage of public holidays as part timers)

  • They will be able to book said public holidays off manually, which will deduct the amount the employee adds in the booking.

NOTE: Hourly employees can only be assigned the default holiday policy, so any set up outlined above should be done using the default holiday policy on the account.

To change someone's working week to hourly:

  1. Head to a team member's profile

  2. Click on the "Time: tab

  3. Scroll down to the allowance until you see " Enable hourly working"

  4. Enter the 'Weekly Working Hours'

  5. Select when you want the hourly working week to come in effect

    1. Note: we can only support hourly working that start on the first day of the current leave year, next leave year or the employment start date

  6. Click on 'Confirm changes'

    And you are all done.

Through the employee's Profile -> Settings -> Working weeks, you will be able to make any changes to the working pattern moving forward.

Note: You can't edit a working week once it has been applied. If you need to make any changes to an existing working week, you will need to click the bin icon in the right hand side and create a new working week.
