Using email templates

Learn how to use Recruit's existing email templates, as well as how to create your own

Communicating with your candidates is a huge part of the recruitment process, and Charlie Recruit is equipped with some great, standard email templates that you're free to use, as well as the option to create your own custom templates which allow you to let your company culture and tone of voice shine through.

Available email templates

You can find email templates by heading to Settings > Recruitment > Email Templates. You'll find a list of system templates, otherwise known as existing templates that we have created and are free for you to use. These unfortunately cannot be edited other than filling in certain fields such as candidate name etc, but you will find templates such as an interview reminder, invitations to interviews and an offer email. In total, you will find 32 templates already created for you.

Create custom email templates

If you'd like to create your own templates, simply tap on 'Custom' and 'Add Template' and you'll then have the opportunity to fill in the purpose of the template, the subject, and then the email body. You can also set the visibility of the template:

  • Tick 'Make this Private' when you want to be the only one to use the template

  • Untick 'Make this Private' when you need everyone in the hiring team to be able to view and use the custom template

Once you're happy with how it looks, just tap 'Save' and the template will be stored under your Custom templates.

You can then select templates to email candidates throughout the hiring process, and just fill in the blanks to ensure it refers to the correct candidate.

Setting a custom template as a default

Once you have created a new custom template it will now appear in the custom tab of your email templates section.

When you click on one of the emails you a modal will open allowing you to edit the subject and body of the email. At the bottom of that modal you will see the option to set that template as the default for the purpose you assigned to that template.

Things to note:

There are a few nuances to how template selection works in Charlie Recruit:

  1. Recruit Users can set up automations and assign specific email templates to individual stages of a job in the workflow.

  2. If an email template has already been set for a particular stage of a job, that template will always be used regardless of any default template settings.

  3. The default template only applies when no template has been explicitly set for a given stage of a job.

  4. If you want to change the template being sent, you will need to edit the automation for that specific stage of the job and select the required email template there.
