Managing time off in lieu

You can assign and track time off in lieu using custom time off types & one off allowance adjustments

Charlie can be used to allocate and manage time off in lieu for individual team members. This article takes you through the process of creating a separate time off type for Time Off In Lieu (TOIL), and how to allocate a specific instance for team members.

Time off in lieu can be created as a custom time off type, separate from your team's standard holiday allowance. Managing TOIL separately from your standard holiday allowance makes it easier to allocate, track for admins and team members. Admins can then also report on time off in lieu usage separately if needed, as well as exclude it from any end of year carryover calculations.

To start, create a custom time off type for time off in lieu:

  1. Navigate to Time > Settings

  2. Scroll down to Time off Types, and click 'Add new type' on the custom type section

  3. Give the time off type an appropriate name, and select 'Custom limit' from the allowance rule section, and enter zero as the starting allowance limit. This means that team members won't have any time off in lieu available to book unless it is specifically assigned to them.

Once the time off type is created, it will be available to book for all team members.


Allocating time off in lieu

To allocate any instance of time off in lieu a team member becomes entitled to, add a one off adjustment to their time off in lieu allowance:

  1. Navigate to that team member's profile, then to their Time tab

  2. Click to expand the time relevant accordion from the list of time off types on the right side of the page

  3. Click 'Adjust Allowance'

  4. Enter the duration, name and optional notes for the time off in lieu. The name will be visible to the team member, but the notes can only be seen by Admins, line managers and team leads.

  5. Click update to add.

The team member can then see this allocation of time off in lieu on their profile, or from their dashboard. To use the allocation, they would simply select the relevant time off type from the dropdown menu and submit the request just as they would with any type of time off request.
