Setting allowances for custom time off types

A guide to creating allowances for the different types of time off yourorganisation offers

Note: Only Admins and Super Admins can create or edit allowance limits for time off types

Charlie allows for time off types to have an associated allowance separate to the main time off allowance given to employees through your company holiday policy. Custom time off types and allowance work in the same way as regular annual leave, they can be prorated depending on employee start dates, and time booked using those leave types will deduct from the associated allowance.

Setting up an allowance for a leave type on Charlie

Allowance for custom leave types are set at the policy level rather than at the leave type level. This give you the flexibility to have different allowance per leave policy for the same leave type.

  1. Head to "Time" and "Settings"

  2. Scroll until you see the "Leave policies" section

    1. Before assigning an allowance, you create a new time off type for this leave policy, or include any existing leave types in leave policy you want

  3. Click on the pencil icon to open the policy settings

  4. Scroll to the leave types section and click "Custom limit" to get the option to add an allowance

  5. Type the total yearly allowance you want employees to have for this leave type

Once you are happy with the edits click update.

The same directions apply if you wish to edit the existing allowance another a leave type.

And just like that, your team now has an associated limit for their additional leave types.

These time off types are booked and approved in exactly the same way as holiday, with the allowance limit being shown to team members and any time off approvers during the booking and approval flows.


Viewing the usage of a time off type in the last 12 months

Through employee individual profiles, you have the ability to view how much time they have used in the last 12 months for each leave type you offer as an organisation.

To view this, simply navigate to their Profile -> Time tab. All leave types available to the team member will appear on the right hand side. You can then expand the leave type you wish to view the usage for, and toggle on the "Past 12 months usage".

When toggled off, the leave type will show the allowance for the current leave year as well as the usage for the current leave year.
