Note: Some of these actions can only be performed by Admins and Super Admins
Depending on team member working patterns on some occasions a member of our team might have accrued TOIL for some extra work they have done. There are a few ways you can log and track TOIL on Charlie.
The first step in separating TOIL from regular holidays, would be to create a custom leave type through Time -> Settings -> Custom time off types. This will allow your team to select TOIL as the time off type they are booking when trying to use any TOIL they have accrued.
To create a custom Time Off type:
In Charlie, head to Time>Settings, and scroll to the 'Time Off Types' section
You'll see 'Default Types' on the left, and 'Custom Types' on the right. Tap 'Add new type' on the custom type section
Next, you can enter in the name of your new time off type-> " TOIL "
Once you save the leave type, you can then select which policies you want to include this leave type in.
Once you save this you can navigate to the "Leave policies" section and click to edit the policy that includes the TOIL leave type.
Once you see the policy settings, scroll until you see the Toil leave type, and se the custom limit to zero (0)
Then save your policy edits by clickins update.
Once these updates are done, you can navigate to the employee profile and under their "Time" tab scroll to find the leave type allowance. Click adjust, and add any TOIL they have accumulated.
Please note: Custom time off types can only be created by Admins and Super Admins while Line Managers and Team Leads will have the ability to adjust the TOIL allowance
Adding an expiration date to a one-off adjustment:
Expiration dates can simply be added to any increase adjustment you add to an employee allowance. Following the same steps as above, you will simply need to add the expiration date before saving the adjustment.
Once saved the adjustment will be visible in the same place however a note including the expiration date will be visible by hovering over the "i" icon.
Note: Any holiday booked where an expiring adjustment has been added to an allowance, the holiday will count toward the adjustment with the soonest expiration date.
And just like that you are ready to go!
