Expiring time off adjustments

A guide to expiring adjustments on Charlie

Note: Only Admins, Super Admins, Line Managers and Team Leads can add a time off adjustment to a team member.

Have team member whose allowance needs to be amended slightly? Do you need to add a TOIL day to a specific employee? Does this adjustment have an expiration date?

Easily make these one-off adjustments in Charlie!

Adding an expiration date to a one-off adjustment:

Expiration dates can simply be added to any increase adjustment you add to an employee allowance.

  1. Navigate to the team member profile you want to adjust the allowance for

  2. Click on their 'Time' tab

  3. Scroll down to their allowance

  4. Click 'Adjust Allowance'

  5. Select increase

  6. Enter the amount of days

  7. Enter the 'Type of Adjustment'

  8. Add the expiry date

  9. Add any notes

  10. Click 'Save' to confirm your changes.

Once saved the adjustment will be visible in the same place however a note including the expiration date will be visible by hovering over the "i" icon.

Please note: Expiration dates can only be added to increase adjustments. Adjustments added to decrease the allowance cannot have an expiration date

Making an adjustment to an allowance of a time of type:

  1. Navigate to the team member profile you want to adjust the allowance for

  2. Click on their 'Time' tab

  3. Scroll down to locate the allowance you want to adjust

  4. Click 'Adjust Allowance'

  5. Select if its an increase or a decrease

  6. Enter the amount of days

  7. Enter the 'Type of Adjustment'

  8. Add the expiry date (if applicable)

  9. Add any notes

  10. Click 'Save' to confirm your changes

FAQs

  1. Can I add an expiring adjustment to hourly employees?
    Currently expiring adjustments are not supported for hourly employees. These can only be added to employees whose time off is calculated in days, and are set up on a working week scheduled in days.

  2. Why can't I add an expiring adjustment in the past?
    Expiration dates must be set with [today's] date or a date in the future. Adjustments cannot be added with a date in the past, and therefore add an already expired adjustment to an employee allowance.

  3. Can expiring adjustments be carried over?
    Expiring adjustments do not carry across leave periods, but reset at each rollover date (the date your leave year refreshes) like all adjustments.

  4. When to expiring adjustments expire?

    Expiring leave adjustments will expire on the date added as the expiration when first adding it to the allowance. The expiry date is inclusive, so if an adjustment expires on Friday the 15th, any leave taken on Friday the 15th will count toward using it.

  5. Which bookings counts toward expiring adjustments?
    Only approved time off will count toward "using" an expiring adjustment. Pending requests do not preserve the adjustment days. However, if a leave request that falls before an expiry date is approved after the expiration date has passed, it will be retroactively counted towards using the expiring adjustment.
